The Opportunity
We’re looking for a Billing Specialist to join our San Diego office and take ownership of the full billing cycle for a portfolio of insurance defense and litigation matters. This role works closely with attorneys, legal assistants, and billing leadership to ensure client invoices are accurate, compliant with carrier and client guidelines, and submitted on time. It’s a high-visibility role that requires someone who takes pride in precision, communicates well under deadline, and knows how to navigate the nuances of insurance defense billing.

This position requires regular in-office attendance for the first 180 days. After that period, hybrid working arrangements may be available for eligible employees consistent with firm policy.

What You’ll Do
Invoice Preparation & Distribution
  • Launch, review, finalize, and distribute client bills using Aderant Expert and BillBlast, adhering to each client’s billing requirements and attorney preferences
  • Review and revise prebills based on attorney feedback, including narrative edits, time entry adjustments, write-offs, and cost corrections
  • Apply retainer balances, split billing across multiple clients or matters, and organize supporting billing detail as required
  • Perform fee and cost calculations, verify rate compliance, and confirm that billed entries fall within client guidelines before submission

E-Billing & Outside Counsel Guideline Compliance
  • Submit invoices through carrier and client e-billing portals (e.g., Legal Tracker, TyMetrix, Collaborati, Mitratech), ensuring adherence to platform-specific formatting and submission rules
  • Proactively identify non-compliant time entries, billing codes, or narratives before submission and coordinate corrections with the responsible attorney or legal assistant
  • Monitor submission status and resolve rejections or errors at the line-item level to minimize revenue delays
  • Maintain current knowledge of preferred billing requirements and outside counsel guidelines (OCGs) for the firm’s key insurance carrier and corporate clients

Client & Matter Maintenance
  • Maintain accurate client and matter billing information in Aderant, including rate schedules, billing instructions, and contact preferences
  • Process billing-related changes such as rate updates, matter transfers, and billing arrangement modifications as directed
  • Respond promptly to billing inquiries from attorneys, legal assistants, and clients, escalating complex issues to the Billing Manager as appropriate

Workflow & Team Support
  • Provide support to the Billing Manager, including tracking billing workflow, assisting with complex or high-volume billing cycles, and completing special billing projects
  • Assist with month-end billing close, ensuring that all assigned matters are billed, submitted, or appropriately documented within the billing cycle
  • Collaborate with the collections and cash application teams to resolve invoice discrepancies and support AR follow-up on outstanding balances

What We’re Looking For
  • 3+ years of hands-on billing experience in a law firm environment, with direct exposure to insurance defense or carrier billing preferred
  • Proficiency with Aderant Expert and BillBlast, or demonstrated experience with a comparable legal billing platform (Juris, Elite, ProLaw)
  • Working knowledge of e-billing portals and outside counsel guidelines; comfortable navigating carrier-specific submission rules and resolving portal rejections
  • Strong Microsoft Excel skills and general proficiency across Office applications
  • Excellent written and verbal communication skills — you’ll interact daily with attorneys, legal assistants, and occasionally carrier billing contacts
  • High attention to detail and the ability to manage a multi-matter billing queue under deadline pressure without sacrificing accuracy
  • Customer-service mindset with a proactive, problem-solving approach to billing issues
  • Ability to work independently and as part of a team, adapting to shifting priorities in a fast-paced litigation environment

Nice to Have but Not Required
  • Familiarity with task-based billing (UTBMS/ABA billing codes) and litigation support billing conventions
  • Experience with trust accounting or retainer management in a legal billing context
  • Prior experience supporting billing for a multi-office or high-volume insurance defense practice

Compensation
The pay range for this position is $31.25 – $38.46 per hour, commensurate with experience and qualifications. Klinedinst PC complies with California’s pay transparency requirements. Pay ranges are provided in compliance with SB1162, California’s pay transparency law; actual pay may vary based on a variety of factors, including education, applicable experience, etc.

Final compensation will be determined based on relevant experience, skills, and internal equity considerations. This position is eligible for the firm’s standard benefits package described above.
